Quick questions
Doesn't Microsoft 365 back up our data automatically?
Microsoft runs the platform with high availability, but that's not the same as backup. Their own documentation says data protection is the customer's responsibility. Deleted items and overwritten files have short retention windows. A dedicated backup gives you proper point-in-time recovery and a much longer retention period.
How do we know the backups are actually working?
We monitor them. If a backup job fails or doesn't complete, an alert fires and someone looks at it — not next week, not next month. We also test restores periodically to confirm the data actually comes back, rather than finding out the backup was silently broken when the recovery is urgent.
What happens if we get hit with ransomware?
Having clean, tested backups is the difference between paying a ransom and rebuilding from yesterday's data. We contain the affected systems, identify the clean restore point, and work through the documented recovery process. There's no guarantee it's painless, but it's a known process rather than a scramble.
